Integration Points
- Purchase By Invoice (PBI)
Vendor Setup - Header
- Vendor Code – decided on by the customer; let the Vendor contact know the code to use
- PBI flag - enabled
- Allocate * - enabled
Initial Request
- Provide a Location list with the Location Code and Address. The Location Code is used in the file rather than a vendor account number.
- Communicate with the vendor on whether to map to Category/Subcategory/Microcategory or General Ledger. If using the General Ledger, you must not have more than one Category/Subcategory/Microcategory combination linked to the same General Ledger.
- Non-product/logistics fees will also need to be considered for the Category/GL mappings
Other Considerations
- Invoice timing is early morning daily and includes the previous day's invoices
- You may want to consider setting PBIs to be reviewed before auto-reconciling. This is a setting done on the Location record in Enterprise Manager.
- If you want to allow invoices to be imported into posted periods, enable the Allocate flag on the vendor record.
- When setting up the integration, make sure to request separate invoice files rather than one single file. This will help with allowing invoices to process without being held up if one invoice fails in the bunch
