Is it possible to permanently transfer an employee from one location to another and preserve historical labor data without creating issues in Teamworx?
Answer:
Yes, this is possible. The process for permanently transferring an employee from one location to another while preserving historical labor data and preventing issues in Teamworx is detailed below.
Procedure:
- When employees transfer permanently from one location to another, the manager from the sending location should also "Transfer" the employee's Employee Maintenance profile in Net-Chef from the old to the new location. Here’s how:
- Net-Chef >> Employee Maintenance >> Employee Profile >> Edit
- Change the "Primary Location" of the employee to the new location.
- Click "Yes" if you are sure you want to change the Primary Location.
Caution Notes:
-
-
- Although not recommended, some companies, instead of using the process above, will create a new employee profile in the new location, and then terminate the old employee profile. That allows them to treat the transferred employee as a new hire with a new payroll number.
- In CrunchTime this is similar to firing one employee and hiring a completely different person.
- None of the shifts the employee previously worked will be associated with the “new” employee.
- Some companies want to treat the transferred employee as a new person with a new payroll number.
- Although not recommended, some companies, instead of using the process above, will create a new employee profile in the new location, and then terminate the old employee profile. That allows them to treat the transferred employee as a new hire with a new payroll number.
-
When an employee is terminated in Net-Chef, their Teamworx account is still stored, along with the e-mail address used to create that account (which is normally taken from their Net-Chef profile). If the employee then tries to open a new Teamworx account using the same e-mail address, they’ll get this error: Account with this email already exists
- If that happens, to fix it, do the following:
- Re-activate the terminated employee profile in Net-Chef >> Employee Maintenance >> View Employee
- Tip: To change "Terminated" status to "Active", the "Eligible for Rehire" button must first be checked.
- Have the employee log into their old Teamworx account, using their email address.
- Within Teamworx, have them alter the original email address in the Teamworx "My Profile" under "Contact Information" to something new (or remove it altogether)
- Have them log out of Teamworx.
- Finally, re-terminate the employee’s original Net-Chef profile again.
- At this point, it’ll be possible to create a new Teamworx account using that original email address.
