Tasks can be started in a few different places and it's important to make sure they're started correctly so each submission counts towards project completion, if a task is not started correctly there's a chance the task will appear as missed.
Where should tasks be started?
Tasks should only ever be started from 'Recurring' or 'Tasks' unless your company has configured the project in question to Allow users to complete tasks for others enabled please confirm this with a Company Admin.
What are the incorrect ways of starting a task?
If a task is started using 'My Forms' it will not be counted back to the project completion unless Allow users to complete tasks for others enabled has been enabled by a Company Admin, 'My Forms' should only be used to fill out Adhock forms that aren't required daily or are tied to a project
'Drafts' are used to save progress on Forms to be completed at a later time, if we were to complete a draft that isn't tied to the current open task it would not count towards the project completion and it would appear red in the recurring view.
(Admins & Managers) How can you tell if a task has been completed correctly or completed using 'Drafts' or 'My Forms'
When checking a submission, there are some key areas to see if a task has been completed correctly.
At a glance, we can see that this submission is tied to a project 'Manager Compliance' by checking below the received Time. We're also able to see the task itself was started on May 13th and submitted on May 13th
If we're looking at a task that was not started from 'Tasks' or 'Recurring' we're able to see that this task isn't tied to any project, we can confirm this by checking below the 'received' time, by comparing these two submissions we're able to identify a correct and incorrect submission.
Once a task is marked as missed in the recurring view its status is unable to be changed.
How to spot a submission made from 'Drafts'
Drafts should only be used when submitting a task before its due time or when more context needs to be added at a later time.
When checking a submission that has been performed using a draft it will appear correct, we're able to see that this submission is tied to the project 'Onboarding - Kym's Practice Form' however on closer inspection we're able to see that this task was created on the July 2nd and submitted much later on October 8th
We're also able to see that this task took 156 hours to complete which would indicate this has been left open for quite a while and then saved to drafts.
Most draft submissions will not count towards project completion unless they're submitted before the tasks due date in this case the task was submitted months later and will not count.
