What is a Staffing Organizer in Teamworx?
Staffing Organizer allows Net-Chef Users to configure locations into different structures and assign those structures to Teamworx Managers of their selection. Those managers will now be able to work on individual “pieces” of the schedule and control Time Off Requests, Shift Swaps, and other employee requests from employees linked to Positions in their Structure.
- Staffing Organizers can be created, copied, or imported from another location on the main Staffing Organizer Page. They can also be exported to PDF or Excel for printing.
- When Net-Chef users first visit this screen, the Unassigned Structure will be visible. This is a collection of all Positions currently active at this location (the location has active employees linked to these positions). If a location chooses NOT to use Staffing Organizer, it should leave everything in this initial status.
- When a user selects Add Structure, they will be presented with the Create Staffing Group screen. Here they can define a title for the Structure, add Positions (and Stations), and define the Staffing Manager(s) for this structure.
- In the Positions to Schedule section of this screen, users can add new Positions to the structure with the plus sign and select a position from the drop-down menu.
- An arrow to the right of the position indicates Stations attached to this Position. By clicking this arrow, they can expand the list of Stations and determine whether these Stations will be part of this Staffing Structure.
- If the arrow to the right of the Position is orange, it indicates that SOME positions have been selected. A grey arrow indicates that ALL Stations linked to this position have been selected. (This is the default state.)
- Positions displayed in orange text are already part of at least one Staffing Structure (more on this later)

Q: Why might someone limit the Stations that can be scheduled?
A: Since stations can be (and often are) configured above store level, a scenario could exist where a Position, but not a Station, is viable for a location.
Example 1: I have "Server" as a Position, with the linked Station of "Patio Server 1." My particular location does not have a patio, so the Patio Server Stations would not benefit my location and would just create noise for Staffing Managers.
Also, since Positions can be linked to multiple Staffing Structures, limiting the Stations that will be scheduled on each Structure may be beneficial.
Example 2: I have the "Busser" position, with Stations of "Bar Back" and "Service Assistant." I link the Busser to both the "Bar" and "FOH Service" Structures. Bars will be allowed to schedule Bussers in the Bar Back station, and FOH Service will be able to schedule Bussers in the Service Assistant Station.
- Users can also add Positions by Labor GL (P&L Substructure). Adding by Labor GL will present an alert notifying the user which Positions will be added.
- Once positions are added to the Staffing Structure, Staffing Managers can be assigned from the TeamworX Managers linked to a given location. Staffing Managers will be those who:
- Edit / Complete Labor Schedules for a given Staffing Structure
- Manage Staff Requests for those employees in Positions linked to their Staffing Structure
- If they are flagged as a Staffing Structure Publisher, they will be allowed to Publish the schedule for this particular Staffing Structure.
Staffing Structures entirely comprised of Positions NOT linked to any other Staffing Structure will be eligible to be published individually. When adding positions to a structure, those that are already assigned to a Staffing Structure will be displayed with orange text:
If any of these positions are added to a second structure, TeamworX will display the following informational block:
TeamworX will also disable the Staffing Structure Publisher checkbox:
- Details of each Structure can be exported to PDF or Excel for printing.
- Once a Staffing Structure has been created, editing that Structure will also allow for deletion.
- When editing the Unassigned Structure, users will see a “Required For Publish” checkbox. Turning this off indicates that schedules can be Published without completing the schedule for Unassigned Positions.
Pro Tip: The "Unassigned Structure" is designed to be a catch-all for old positions or those not frequently used. For instance, if a location has several employees with old, non-exported Labor Actuals for positions that have fallen out of use but can't be un-linked from the employees, they can go here. Other things like "FOH Trainee" or "BOH Trainee" that may be occasionally scheduled can also fall into this category.
- When turned OFF, the Unassigned Structure will be italicized in the list of Staffing Structures.
- If all Positions are assigned to a Staffing Structure, Unassigned will disappear, as it is now an empty Structure.
- Publishers will be selected from a list of TeamworX Managers (Net-Chef Users can ALWAYS Publish schedules for any location to which they are linked). Publishers will be those TeamworX Managers who can Create New Labor Schedules and Publish schedules that have been Marked As Ready by the individual Staffing Managers. Multiple Publishers can be selected if necessary.
- As mentioned earlier, Staffing Organizers can be imported from or copied to other locations to which the Net-Chef User is linked.
- When Importing, the list of available locations will be dictated by the locations that the Net-Chef User is linked to, and those with existing Staffing Organizers set up.
- When copying, the list of locations is dictated by the locations to which the Net-Chef User is linked.
- Users can then select individual Structures from the list of existing structures or elect to Copy / Import all Structures.
- Copying To or Importing From will overwrite existing Staffing Structures.
- Structures can be re-ordered on the Staffing Organizer main page by clicking and dragging on the three blue lines (“hamburger”) icon.
Staffing Organizer Configuration applies only to schedules created AFTER the Organizer is configured. Any changes made to the Staffing Organizer will NOT affect currently existing schedules. Users should be aware of this and make sure to only make changes to the Staffing Organizer as necessary. Since that is the case, copying schedules out far into the future is not recommended if users anticipate the need to adjust Staffing Organizers at any point.
